Booking Terms and Conditions

These Terms and Conditions outline the rules for services offered through our website www.nexusluxeholidays.com. By accessing, browsing, and making confirmed reservations, you agree to accept and be bound by these terms.

Reservations with Nexus Luxe Holidays

Embark on unforgettable adventures with Nexus Luxe Holidays.

1. Booking made outside of cancellation period.

To secure your reservation, a 50% deposit or US$500, whichever is lower, is required upon confirming your trip and receiving cost approval. All payments must be made in full before the last date of cancellation as mentioned on the invoice. Failure to do so will result in cancellation of your booking and deposit paid will be non-refunded.

2. Booking made within the cancellation period.

Any booking made last-minute or withing the cancellation period, full payment is mandatory for confirmation of booking. Any cancellation after such payment is non-refundable.

A cancellation period refers to the timeframe within which you can cancel your booking and receive a refund, minus any cancellation fees, as stated in the booking terms and conditions.

Example if your invoice mentions the date of cancellation as 1 April 2024, then the full payment must be made before 11.59 pm local time specific to the property, on 31 March 2024.

Methods of Payment

We accept electronic money transfers, and all major credit cards including Visa, MasterCard, American Express, JCB, Discover, and Diners Club.

For credit cards payments:

Upon finalizing your tour and confirming the pricing, you'll receive a confirmation email with your tour details and a secure credit card payment link. We utilize Marx, a trusted third-party payment processing company, to handle all transactions securely. Please note a 4% processing fee applies.

Important: As mandated by Sri Lankan authorities, we require a copy of the passport for the individual making the payment. This is a mandatory requirement, and we cannot proceed with the booking without it.

Please note that bank transfers typically take 2-3 business days to complete, depending on your bank's processing times. To ensure timely confirmation of your payment, kindly submit a copy of the remittance slip to reservations@nexusluxe.com for our records. We will verify the successful transfer of funds into our account and notify you accordingly. Failure to receive the payment within a maximum of 5 working days may result in the automatic cancellation of your tour.

Please note that all bank transfer charges associated with your payment will be borne by you, the customer. This includes any fees levied by your bank or intermediary banks involved in the transfer process.

For any Last-Minute Travel Arrangements or Travel Within Cancellation Period, we do not accept bank transfers and will only accept credit card payments.

Upon confirming your reservation, you will receive an email containing your trip itinerary, the total cost with the reflected down payment, and a copy of our company policy outlining the terms and conditions regarding cancellations, no-shows, date changes, and other relevant aspects.

Nexus Luxe Cancellation Policy

Cancellation and Refund Conditions

Clients have the option to retain the paid amount as credit for future bookings or receive refunds to the original payment method, subject to the policies of each individual product. The refund will be adjusted for any bank fees or credit card processing costs and other associated expenses.

Cancellation Policy

Nexus Luxe Holidays has established specific cancellation terms with each hotel, as outlined in the offer email or invoice.

As an example, if the offer permits cancellation 14 days before check-in, clients should cancel the booking, accordingly, ensuring it is done by 11:59 pm local time of the property, 14 full days before the arrival/check-in date.

If full payment for the tour is not received on or before cancellation period, the tour will be considered cancelled, and the deposit paid will be forfeited.

Last Minute Traveller

Full payments made for Last Minute Traveller falls within the cancellation period will not be refunded for any cancellations by customers. Additionally, date changes are not permitted due to the limited availability and last-minute nature of such bookings.

No Show

In the event of a No-Show by Customer no refund shall be given.

Emergency Cancellations

We understand that unforeseen circumstances may arise, necessitating a tour cancellation. In such cases, we will make every effort to contact the relevant resort or service providers to explore the possibility of a refund or reschedule the travel dates. However, any decisions regarding refunds or reschedules will be at the sole discretion of the resort or service provider.

The cancellation policy may differ from resort to resort and it will be highlighted on the invoice/proposal.

Nexus Luxe Refund Policy

Refund Request Denial

Nexus Luxe Holidays reserves the right to reject refund requests if they are misleading, incorrect, deceptive, or beyond the scope of this policy. Fraudulent refund requests will be reported to authorities. Your eligibility for a refund depends on the specific cancellation policies provided for each product at the time of purchase, visible on the invoice or in the proposed email.

Refund Ineligibility

The following scenarios are not eligible for refunds:

- Failure to review specific terms and conditions

- Change of mind, except within stated cancellation periods

- Inability to secure preferred dates or book within the specified 'book by' period

- Requesting unavailable dates for a "Book Now, Pay Later" option

- No-show or missing check-in

- Inability to redeem the offer due to travel constraints

Force Majeure

In the event of a "Force Majeure Event," such as unforeseen natural disasters, strikes, or government orders, hindering a trip, Nexus Luxe Holidays will work with relevant resorts and service providers to issue a refund after deducting unrecoverable costs. However, the company is not liable for other client losses or expenses, including booking and flight-related costs.

Refundable Amount:

Refunds will only be applicable for the amount invoiced and paid by the client. Any fees paid directly by the customer to any third-party such as airfare, will not be included in the refund and is not the liability of Nexus Luxe Holidays.

Clients have the option to retain the paid amount as credit for future subject to the policies of each individual product.

Transfer Costs:

Refunds may incur transfer costs, and all refunds will be via Bank Transfer or card payment.

General Refund Policy Guidelines

Refund Requests:

All refund requests must be submitted in writing to Nexus Luxe Holidays via email to reservations@nexusluxe.com within the stipulated time where customer is eligible for a request.

Refund Processing Time:

Refunds will typically be processed within 30 business days of receiving a valid refund request.

Communication:

We will maintain open communication with you throughout the refund process, keeping you informed of the status of your request.
